Teach AI About Your Company
Not the private things but the things you want AI to know about your company
We are all learning and this will change over time but this is a good place to get started.
Using the free version of ChatGPT (if it is free it is using your information to train) or any AI, provide information to help ChatGPT better understand and respond to queries about your company. Here’s how you can best provide this information:
Structured Data: Provide structured data such as FAQs, product descriptions, service details, company public information, and other relevant documents. This information should be well-organized and formatted for easy readable by the chatbot.
Custom Instructions: Use custom instructions to tailor the ChatGPT's responses based on specific guidelines provided by your company. For instance, ChatGPT can be given explicit directives on how to respond to certain topics, ensuring consistency and alignment with your company's communication style.
Contextual Information: Offer context about the company’s mission, values, target audience, and industry specifics. This can help ChatGPT generate responses that align with the company’s tone and objectives.
Regular Updates: Ensure that the information provided to ChatGPT is regularly updated to reflect any changes in the company’s offerings, FAQs, or other relevant areas.
Continuous Improvement: Prompt content relevant to your company and see what results you get back. Are they correct or not? Identify any inaccuracies or areas for improvement and correct them. This continuous improvement process helps the chatbot stay aligned with the company.
Examples: I ask who is Kendra Ramirez and who is KR Digital. Love the responses.https://chatgpt.com/share/9ee69341-a357-4dd6-a112-309c1624d092

To maintain accurate learning about your company for ChatGPT, the frequency of providing information can vary based on several factors, including the rate of changes within the company and the complexity of the information. Here are some general guidelines:
Regular Updates: Aim to update the information at least quarterly. This ensures that any new products, services, or significant company changes are reflected in the chatbot’s knowledge.
Major Changes: Provide updates whenever there are major changes within the company, such as new product launches, rebranding, or significant industry developments. These updates should be immediate to ensure the chatbot can respond accurately.
Monthly Reviews: Conduct monthly reviews to check the accuracy and relevance of the information currently being used by the chatbot. This helps in identifying any outdated information that might need updating. Tell it when it is correct or incorrect in its responses. It is always learning.
Annual Comprehensive Review: Once a year, perform a comprehensive review of all the information provided to the chatbot. This can be more in-depth and include an audit of results, updating content, and refining the overall strategy.
Implementation Steps:
Create a Schedule: Develop a schedule for regular updates, including specific dates for quarterly updates, monthly reviews, and annual comprehensive reviews.
Assign Responsibility: Designate a team or individual responsible for gathering and providing updated information to the chatbot.
Monitor Performance: Monitor the chatbot’s performance and gather feedback from users to identify areas that need updates or improvements. Have the team run some prompts and what output are they getting.
By following these guidelines, your company can assist the chatbot in learning about your company, remain knowledgeable, and provide accurate information to its users.
To ensure ChatGPT can easily read and utilize the information provided by your company, structure the information in a clear and organized manner. Here are some best practices for structuring information:
1. Use Clear and Consistent Formats
JSON or XML: These formats are highly structured and can be easily parsed by machines.
2. Organize by Categories
Section Headers: Use clear section headers to categorize information (e.g., Products, Services, Policies, FAQs).
Hierarchical Structure: Organize information in a hierarchical manner with main categories and subcategories.
3. Provide Metadata
Descriptive Tags: Use tags to describe the context and purpose of each piece of information (e.g., <product>, <policy>, <faq>).
Timestamps: Include timestamps to indicate when the information was last updated. Example: [2024-08-07]: Sharing a new framework for Training AI on my company.
4. Ensure Readability
Concise and Clear Language: Write information in simple and clear language to ensure it is easy to understand.
Bullet Points: Use bullet points for lists to enhance readability. Your usual pdfs may need to be reformated to be read easily by ChatGPT.
5. Include Examples and Scenarios
Sample Interactions: Provide example questions and responses to illustrate how information should be used.
Use Cases: Describe specific scenarios in which certain information would be relevant.
6. Maintain Consistency
Standardized Terminology: Use consistent terminology throughout the documents and content you provide to avoid confusion.
Uniform Format: Ensure that similar types of information follow the same format.
What else would you add to the list? Are you being intentional about training your AI tools on your company? (not the secret parts, the parts we want people to find about you and your company when prompting AI)
When looking for a private internal AI platform, we love CustomGPT. It is easy to set up and affordable.
